Privacy Policy

The short version: your email is not our business model. We use your data to provide Aero, never to sell ads or train generalized AI.

What this policy covers

This Privacy Policy explains how Aero collects, uses, discloses, and protects personal information when you use our websites, applications, and related services (the “Services”). It does not cover the independent practices of your email provider or other services you connect.

Information we collect

Account and profile information

We collect identifiers you provide, such as your name, email address, authentication details, workspace membership, preferences, and subscription status.

Early-access requests

If you ask to join the closed beta, we store the address you gave us and anything you chose to add — your name, which mailbox you would connect, and what you are hoping Aero solves — so we can decide who to admit and when. That record is used to run the beta and for nothing else. Ask us at privacy@aeromail.ai and we will delete it.

Connected mailbox data

When you connect an account, Aero processes message headers, senders, recipients, subject lines, message content, attachments, labels, and mailbox state so we can sync, search, display, send, screen, and organize your email. We process only the permissions you grant.

Service and device data

We collect limited technical information needed to operate and secure Aero, including coarse device type, session identifiers, event timing, error codes, and IP addresses in infrastructure logs. Product telemetry is designed not to contain message bodies, subjects, snippets, addresses, names, or attachment filenames.

How we use information

We use personal information to provide and secure the Services; authenticate users; sync and send mail; deliver requested AI features; process payments; support users; prevent abuse; comply with law; and improve reliability and usability.

Aero does not sell personal information, serve behavioral advertising, or use mailbox content to train generalized or pooled AI models.

AI features

AI features are off by default and require separate, affirmative consent. When enabled, Aero sends only the content needed to fulfill your request to the identified model provider. Disabling a feature stops new processing; feature-specific settings explain deletion behavior. AI output may be inaccurate and should be verified against the linked source messages.

How we share information

We share information with service providers that host, secure, support, or process the Services under contract; with other users when you choose to collaborate; in a business transaction subject to appropriate safeguards; or when legally required. Our current service providers are listed on our Subprocessors page.

We do not permit service providers to use mailbox data for their own advertising or generalized model training.

Retention and deletion

We retain account information while your account is active and as needed for legal and security obligations. Synced mailbox data is retained while your mailbox is connected, subject to product settings and short backup cycles. You may disconnect a mailbox or delete your account from Settings. We begin deletion promptly and target completion from active systems within 30 days; encrypted backups expire on their normal rotation, generally within 35 additional days.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to certain processing, and to appeal a decision. You may also withdraw consent without affecting prior lawful processing.

Use in-product Privacy & Data controls or email privacy@aeromail.ai. We verify requests to protect your account and respond within the period required by applicable law.

Security and international transfers

We use access controls, encryption in transit and at rest, tenant isolation, secret management, monitoring, and tested deletion paths. No system is perfectly secure. Data may be processed in countries other than where you live; where required, we use recognized transfer safeguards such as Standard Contractual Clauses.

Children and changes

Aero is not directed to children under 16, and we do not knowingly collect their personal information. We may update this policy as the Services change. If a change materially reduces your rights, we will provide prominent notice and obtain consent where required.
